Collab (Rooms Reservations) Capacity: 48
Description
Teaching and learning take place in this flexible classroom primarily used for library instruction, but events, meetings and interactive educational workshops can be hosted here, too. The room has a maximum capacity of 48 people. Detailed information about available technology and room configuration is available. UD-affiliated students, staff and faculty can use the instructor's workstation with their Porches username and password.
Availability
Instruction sessions provided by librarians have priority scheduling for the space, but UD faculty, staff, and students can request to reserve the room outside of library instruction hours for one-time events, programs or workshops:
- Reservation requests must be made at least one week prior to your event
- Mondays through Thursdays, after 5 p.m. until close (please note, only UD ID holders can access the building after 8 p.m.)
- Fridays-Sundays, during building hours (please note, only UD ID holders can access the building after 6 p.m. on Fridays and Saturdays, and 8 p.m. on Sundays)
- During summer semester, the Collab is available all day during building hours when instruction is not taking place
- When making a reservation, be sure to request an additional 30 minutes before and after your actual event times for set up and clean up
The Collab is unavailable and cannot be reserved for the following:
- During midterm and final exam periods (dates vary per semester)
- Standing meetings or events not offered or sponsored by the University Libraries (e.g., monthly department, unit, committee, or student organization meetings)
- Non-library events or programs that take place over several consecutive days
General Guidelines:
- You may reconfigure the furniture to suit your event; however, please return the furniture to its original layout after your event has concluded.
- Place all trash in designated trash receptacles.
- Users are responsible for their personal property. Do not leave items unattended. University Libraries is not liable for loss/damage to personal property.
- Report any damage or equipment failures to one of the services desks (Hello Desks or Information Point on the first floor). If damage is discovered after your use, you may be held responsible for the cost of repairs/replacements.
Terms & Conditions
The room is set up with 8 tables and 6 chairs at each table. The room will be arranged in this default setting. Organizers can rearrange the tables to their liking; tables must be returned to the default layout setting after the event. The maximum capacity for the room is 48 people.
The instructor's workstation includes a desktop, monitor, an overhead document reader, and Blu-Ray player. The workstation includes ports for USB drives, HDMI, and VGA cables. The room has 4 wall monitors, plus a projector and projection screen. There is a wall-length whiteboard, along with two additional smaller, wall-mounted whiteboards. Please bring your own dry erase markers and eraser.
AV/IT support for live events: If you need AV or IT support for a live streaming event taking place in the Collab, you should work with Markey’s, UD’s preferred event support vendor. Markey’s provides support services including equipment rental, on-site technical support and live streaming/Zoom facilitation support. NOTE: If anything else is needed for your event, you are responsible for securing these items.
If you will provide catering, you can request up to two additional rectangular tables to be set up in the room along the east wall. You are responsible for securing your own catering and communicating set up needs with the library.
If you need a space for registration or general staffing to direct your guests to an event, you can reserve the Gem Table. It is located next to the elevators on the second floor.

Library staff can reserve these items by submitting a request through the Reserve Equipment form:
- Wireless presentation remote — Stored in the locked cabinet behind the podium. The key is available from Access Services.
- Wireless lavalier microphone — Library IT staff will set up the microphone and complete a sound check before events during regular business hours of 8am-5pm.
- Meeting Owl 360° camera, microphone and speaker — Library IT staff can be available to set up.
